The verdict

QuickBooks Online is Intuit's small-business accounting system for bookkeeping, invoicing, expenses, payments and payroll. It is the default ledger most US SMBs and their accountants already use.

What it is

QuickBooks Online covers the core finance stack for a small business: bank feeds, categorized bookkeeping, invoicing, expense and receipt capture, payments, payroll and reporting. Its built-in assistant, Intuit Assist, drafts invoices and surfaces cash-flow insights. The real advantage is gravity: because so many US accountants standardize on it, most third-party finance and payment tools build a QuickBooks sync first. The tradeoff is cost creep, since payroll and payments are priced on top of the base plan, and an interface that assumes some bookkeeping literacy.

Strengths

  • Most US accountants and bookkeepers already work in it, so finding help is easy
  • Captures receipts from a phone photo and matches them to bank transactions automatically
  • The widest third-party integration shelf of any SMB ledger, including payments and payroll apps

Trade-offs

  • Payroll and payment processing are separate paid add-ons, so the real monthly cost is well above the headline plan price
  • The interface assumes you understand bookkeeping basics like chart of accounts and reconciliation
  • Intuit raises subscription prices on a near-annual cadence, including for existing customers

Best for

US-based small businesses that want one ledger their accountant already knows and most apps already integrate with

Not for

Solo freelancers who only need simple invoicing, or businesses outside North America where local accounting tools fit local tax rules better

Frequently asked

Does QuickBooks have built-in AI?
Yes. Intuit Assist drafts invoices, categorizes transactions and surfaces cash-flow insights inside QuickBooks Online. It works on the data already in your books rather than as a separate product.
Can QuickBooks automate receipt and expense capture?
Natively it can attach receipts and match them to bank transactions. For higher-volume capture and coding, businesses commonly add Dext or Expensify, which push categorized entries back into QuickBooks.
What does QuickBooks actually cost per month?
Plans run roughly $35 to $235 per month, but payroll and payment processing are billed separately. Budget for those add-ons rather than the base plan alone.
Is QuickBooks or Xero better for a small business?
QuickBooks usually wins in the US because most accountants already use it and integrations are deepest there. Xero is often preferred in the UK, Australia and New Zealand and includes unlimited users on every plan.
Do AI accounting tools integrate with QuickBooks?
Most do. The QuickBooks App Store lists hundreds of finance apps, and tools like BILL, Dext and Synder offer two-way syncs so coded data flows into your ledger automatically.
